An open tab should shout its age
A competitor's till showed twenty open checks on one night and some of them were a fortnight old, sitting there quietly. An unpaid bill that stops drawing attention to itself is money nobody is going to collect.
A photograph of a busy venue's payment terminal: Open 20, Paid 0, Closed 7. Twenty live tabs on a Saturday night is a bar working properly. The part worth staring at was further down the list — checks opened days earlier, still open, listed in exactly the same grey as the ones from twenty minutes ago.
The failure is not the old tab, it is the silence
Tabs go stale for ordinary reasons. Somebody walks out. A member of staff rings a round onto the wrong name and starts again. A shift changes and the person who knew whose bill that was has gone home. None of that is unusual and none of it is avoidable.
What turns it into lost money is a list that treats a fourteen-day-old unpaid bill as an ordinary row. Nobody scanning twenty names at eleven at night is going to do the arithmetic on a timestamp. If the screen does not say this one is wrong, the tab quietly becomes furniture.
What we built instead
An open tab in HelchPOS never hides — there is no archive that swallows it after a week — but past twelve hours its age turns red and the row says still unpaid in words rather than in a date. Closing the drawer names every tab still open, by name, in one sentence: three tabs are still open: Corner table, Dave, Window — money not yet taken. A number nobody chases becomes three conversations somebody can actually have.
Closing is a decision with a reason attached
Tabs are archived, never deleted. A closed tab keeps its row and how it closed — paid by whoever took the money, or discarded by whoever binned it. An unpaid bill that simply vanished from a list is the audit hole that tabs exist to open, so the one thing the system will not let you do is make one disappear without saying who did it and why.
